Discount Coupons

Discount Coupons
One of the most voted feature requests from our community is officially live. Create and manage Discount Coupons directly in RepairDesk to run targeted promotions and reward your customers with ease. Create fixed amount or percentage-based coupons, set validity dates, usage limits, minimum order values, and even restrict coupons to specific products, services, or customer groups.

For an even faster checkout experience, enable Auto Apply to automatically apply eligible discounts at the POS, eliminating the need for your staff to enter coupon codes manually. Applied coupons are also displayed on invoices, receipts, tickets, estimates, and the Customer Facing Display (CFD), while every redemption is tracked through the Items Breakdown custom report, giving you complete visibility into your promotional performance.

Show Parts as Separate Line Items

Display parts as separate line items
Repair shops often need to itemize parts and labor separately on customer-facing documents, whether for tax compliance, transparent pricing, or cleaner record-keeping. With this feature, RepairDesk automatically splits each repair into two distinct line items, one for the service (labor) and one for the part across your tickets, invoices, receipts, and estimates.

You get full control over how each line is priced and taxed: choose whether the service charge is tax-exempt, set the part price to retail, cost, or zero, and apply tax rules independently to each line. This is especially useful for shops in regions like the EU, Australia, or parts of the US where tax authorities require labor and parts to be reported separately.

What’s New:

  • Restore Deleted Items from the Recycle Bin
    Restore accidentally deleted Inventory items, Tickets, Invoices, and Services yourself; no more raising support tickets to get them back. Access the new Recycle Bin page from Store Settings (available to Super Admins) to view, filter, search, and restore deleted items individually or in bulk. Every restore is logged in the Employee Activity log for full audit visibility.

  • Marketing Call Consent Management
    Collect and manage customer consent for marketing calls directly within RepairDesk.
    Enable the feature in Store Settings > Customer Configuration, add your custom consent statement, and capture consent at the Point of Sale, in the New Ticket UI, or in the Customer Profile. Consent is automatically printed on invoices and receipts, stored for future reference, and can be exported through the Custom Report Builder, making it easy to maintain compliance and share consent records with your marketing partners.

  • Custom Report Sharing & Access Management
    Share Custom Reports with employees, roles, or your entire team without requiring everyone to recreate them. Admins and Super Admins can control access with View, Edit, or Export permissions, add report descriptions, and update sharing settings at any time using the new Manage Access option. This makes report collaboration easier while ensuring every team member has the right level of access to add or remove users and adjust access levels as your team changes.

  • Enhanced Employee Performance Insights in Sales Reports under Custom Reports
    A new Employee Performance drawer view lets you compare one or more employees using key metrics such as Total Sales, Quantity Sold, and Profit After Tax, helping you identify top performers and analyze sales performance without leaving the report. Once you create a custom report under the "Item breakdown" and "Employees" filters, you will see the option to view "Employee Sales Performance," which opens a drawer to view it.

  • Transfer Order Snapshots via email/export logs
    Create Transfer Order Snapshots to capture and preserve all transfer orders across your stores at a specific point in time. Schedule snapshots daily, receive them automatically via email, and access them anytime in the Export Log Report for easy recordkeeping and historical tracking.

  • Charge Shipping Cost on Orders Submitted from RepairDesk Forms
    Configure a shipping charge on your RepairDesk Forms and collect it, along with the deposit, in a single upfront transaction. Choose between a flat rate or a dynamic rate (calculated via ShipStation based on the customer's address, package, weight, and service), add an optional markup %, and enable the "Charge shipping fee with deposit" toggle. Customers see the calculated shipping cost on the Shipping step, and the fee is included on the deposit invoice and ticket as a separate line item.

  • Capture Customer Consent for SMS & Email Updates on RepairDesk Forms
    Capture explicit customer consent for SMS and email updates directly on your RD Forms. Enable the new "Enable email consent" and "Enable SMS consent" toggles under each field in the Customer Detail step; consent is synced directly to the customer's notification preferences in RepairDesk, keeping you compliant with GDPR and similar regulations.

  • Incomplete RepairDesk Form Tickets Now Saved as Draft
    When a RepairDesk Form has a mandatory Payment step and a customer closes the tab without paying, the ticket is saved as a Draft rather than remaining active. Draft tickets carry a clear "Draft" label in Manage Tickets, so you can tell real repair jobs apart from abandoned submissions. Opening or editing a draft automatically converts it to an active ticket, and customer email/SMS notifications are sent only after that happens.

  • Select Ticket Status on Checkout
    Select any ticket status directly from the payment pop-up on POS; no more manual status updates after every checkout. When "Repaired & Collected" is set to "No", a new Ticket Status dropdown appears, allowing you to apply the appropriate status at the moment of payment.

  • Auto-Recalculate Percentage-based Line Items on Cart Changes
    Percentage-based line items, such as CC Convenience Fees or surcharges, now automatically recalculate whenever your cart total changes, including on reopened paid and partially paid invoices. Add, remove, or modify items, and the percentage line item updates in real time with a brief highlight in the cart so the change doesn't get missed.

  • New Status History Tab on Ticket Details
    A new Status History tab has been added to the ticket history section, placed between "All" and "Private Comments", displaying only status change entries filtered from the full activity feed. Quickly see when each status transition happened without scrolling through unrelated activity.

  • Get Notified When Customers Add Notes to Estimates
    Be alerted whenever a customer adds a note to an estimate, whether through the Customer Portal or via the estimate email. A new Customer Added Notes option in Manage Email & SMS Notifications lets you enable email and/or SMS alerts, so staff can respond promptly rather than manually checking each estimate for customer replies.

  • Attach Files to Email Invoices
    Add supporting documents directly to an email invoice. A new Attachments section in the Email Invoice pop-up lets you drag and drop or browse to upload files, which are sent alongside the auto-attached PDF invoice, so you can share everything the customer needs in one professional email instead of sending separate follow-ups.

  • Print Additional Notes on Ticket Labels
    A new Additional Notes macro is now available in the Ticket Label editor. Add {{additional_notes}} to your label template, and it prints the additional notes recorded against the line item, from either the POS or the Ticket Details page,  so that context travels with the equipment on the physical label instead of living only in the system.

  • Add Instructions to Custom Form Steps
    Display an instructions section at the top of a Custom Form step, just as the Shipping and Payment steps already do. Enable Show Instructions in the Custom Form widget settings, and a rich text editor lets you add formatted guidance, requirements, or disclaimers (bold, lists, hyperlinks, and more), so customers get clear context before they fill out the form and submit fewer errors.

  • Filter Inventory to Show Parts Only
    Filter the Manage Inventory listing to show only part items by selecting Parts from the Criteria dropdown filter. Instead of opening each product to check its category, you can pull up every item marked as a part in one step, and a Part tag now appears against parts categories in the Category column, so they're easy to spot at a glance.

  • Link Private Comments to Line Items
    When a ticket has multiple devices or services, you can now link each private comment to a specific line item. Just select the relevant device or service from the new Line Item dropdown in the Private Comments section; the comment is tagged to that item, so technicians can see exactly which repair an internal note refers to without guessing or cross-referencing.

  • Quick Check-In Now Available for New Ticket UI
    When adding a new service to a ticket, you'll see the same Quick Check-In option already available for device repair categories on POS, so you can use the same fast check-in workflow for service-based jobs and repairs while checking in from the Ticket UI.

  • Separate Permission for Trade-Ins on the POS
    Trade-in access on the POS is now its own permission. The new Add Trade-In Item permission, under Roles & Permissions > Point of Sale, lets you allow staff to process trade-ins without also giving them the Create New Service/Item permission to add products or services. You can now manage trade-in and item-addition access independently.

  • Print Customer Group on Ticket Labels
    A new Customer Group macro is now available in the Ticket Label editor. Add {{customer_group}} to your label template, and it prints the name of the Customer Group assigned to the ticket, so staff can instantly identify and organize repair items on the shop floor without looking them up in the system.

  • Hyperlinked Ticket & Invoice IDs on POS
    The View Tickets and View Invoices lists on the POS are now faster to work with. Ticket IDs and Invoice IDs in the first column are hyperlinked, so you can jump straight into a ticket or invoice with a click; no more navigating to Repairs > Tickets to look it up. Pagination has also been added at the bottom of these lists, making it easier to move through your records.

  • Import & Export Trade-In Custom Fields via Excel
    Populate Trade-In custom fields through Excel. The exported import template now includes a column for every custom field (named Custom Fields: <Field Name>), and when you upload the completed sheet, those fields appear as mappable columns during the import mapping stage, so you can fill in all custom field values as part of the bulk import instead of updating each Trade-In record by hand afterward.
